Case Study · Healthcare CX

AI for healthcare CX, end to end.

How AirCaptain transformed patient experience for a healthcare provider. Improved the patient experience outside the visit, layered onto the provider's existing stack with no rip-and-replace.

What Changed
Referrals never sitPatients hear back while intent is still high, not after the queue clears.
Routine questions resolve themselvesComplex cases route to a human with full context already attached.
Coverage doesn't clock outAnswers come evenings and weekends, not just 8 to 5.
Nothing gets ripped outLayered onto the stack the team already knows.
The starting point

One patient, four systems, no shared context.

Systems connected

No rip-and-replace. AirCaptain connected to what the provider already used:

EHRTicketing PlatformScheduling SystemInternal Admin Tool

Patients experience a practice mostly outside the exam room, and every one of those touchpoints lived in a different system. None of them talked to each other. AirCaptain worked the space between them: scheduling and rescheduling, referral follow-through, billing questions, everyday support. One coherent experience for the patient, regardless of which system holds the answer.

What we built

Five core AI capabilities, embedded in the daily workflow.

Each capability was layered onto the provider's stack and measured against a real outcome.

01

Intelligent triage & routing

Every inbound message was read, classified by intent, scored for urgency, and routed to the right queue. No more first-in, first-out.

02

Care team copilot

One patient view assembled across systems, with drafted responses and suggested next steps. Staff opened a case already informed instead of rebuilding context by hand.

03

Patient-facing automation

Voice, chat, and auto-response for requests that never needed a person: appointment status, scheduling and rescheduling, cancellations, referral and refill status.

04

Backend workflow automation

The follow-through after a case is resolved, normally spread across several tools, handled end to end without staff involvement.

05

Patient experience intelligence

Every contact analyzed rather than a sample. Trend detection, spike alerts, and shifts in patient sentiment.

Teams & areas where we implemented AI

AI landed in five teams, not one pilot group.

Each function got the capabilities that mattered to its work, inside the tools it already used.

Scheduling

Patient schedule management, including rescheduling and confirmations.

Referrals

Inbound and outbound referral management, end to end.

Billing and RCM

Claims, appeals, and collections.

Medical assistants

Copilot tools plus prescription and prior authorization workflows.

Patient support

Messaging, questions, and requests across every channel patients use.

We'll show you where AI fits in your stack and where it doesn't. A working prototype on your real workflows in the first week, not a months-long scoping exercise.
